Why this matters

Make sure every appointment has exactly one owner the moment it's set, so nothing gets dropped waiting on "wait, who's taking this one?" and nothing gets double-covered by two people showing up prepared for the same seller. This is the handoff step between an appointment getting set (from a call, a text reply, or a door callback) and the sit-down itself in sop-kod-close-appointment.

When to use this
  • Any time an appointment is set with a homeowner, whether it came from a door knock, a phone call, or an online booking
  • Before the appointment goes on the calendar, so it's logged with an owner attached, not just a time slot
  • During the daily confirmation window, to double check the right person is still the one running it
Before you start
  • You know who set the appointment and how (Jason's door callback, Jason's call, David's automated outreach, or a seller's online booking)
  • You know whether it's in person (kitchen-table sit-down) or online (video call)
  • The daily schedule structure this routing plugs into is covered in sop-kod-daily-rhythm
  • You have enough of the seller's file basics (stage of foreclosure, rough equity, auction date if known) to log alongside the appointment, per the prerequisites in sop-kod-close-appointment
How to know it worked
  • Every appointment on the calendar has exactly one named owner, no blanks and no double-bookings
  • In-person appointments David set are showing up assigned to Jason, not left with David
  • Online appointments are staying with David or his assignee, not drifting to Jason by default
  • The appointment log shows who set it, in person vs online, date and time, who's running it, and the seller's file basics
  • Day-of confirmations happened in the late-morning window, before the afternoon route locked in
If it goes sideways
  • Problem: An appointment shows up on the calendar with no owner listed. Fix: Trace it back to who set it using step 1, then apply the routing rules in steps 2 through 4. Don't leave it unassigned while you figure it out, assign it now and correct later if needed.
  • Problem: David set an in-person appointment and it's still sitting in his queue instead of routed to Jason. Fix: Reassign it to Jason immediately and hand off the file basics. In-person always goes to Jason regardless of who set it.
  • Problem: The late-morning confirmation call reveals the seller wants to reschedule. Fix: Update the log with the new date and time right away, keep the same owner unless the appointment type changed (in person vs online), and free up the old route slot if the afternoon route hasn't locked yet.
  • Problem: Two people show up prepared for the same appointment. Fix: This means the log wasn't checked before either person prepared. Whoever has the standing rule (Jason for in-person, David for online) runs it; the other stands down and the log gets corrected on the spot.
  • Problem: An online appointment came in but nobody has claimed it. Fix: It defaults to David. He either runs it himself or assigns it, but it doesn't sit unclaimed past the confirmation window.
